THE PRACTICAL DETAILS

Your information.
Handled thoughtfully.

This notice explains how information is used when you visit this website or contact The Auburn Web.

Who we are

The Auburn Web is an independent digital studio based in Dartford, Kent. We are responsible for the business enquiries you choose to send to us. For privacy questions or requests, contact info@theauburnweb.co.uk.

Information you share

You may share your name, email address, business name, current tools or website, project details and preferred timing. Email or WhatsApp conversations may contain additional information you choose to provide.

When you submit the contact form, your details are sent through our website server and Hostinger’s email service to info@theauburnweb.co.uk. The message is sent from service@theauburnweb.co.uk, with your email address as the reply-to address. Your enquiry content is held in our email correspondence, rather than a separate website enquiry database.

Why we use it

We use enquiry information to understand your request, reply, discuss a possible project and maintain relevant business correspondence. We rely on our legitimate interests in responding to business enquiries and running the studio. Where you ask us to take steps towards a contract with you, we use the information for those steps.

To limit abuse and avoid sending the same enquiry twice, the website stores a request reference, delivery state, timestamps and keyed hashes of the connection address and form content. The website database does not store the message text or raw connection address. These temporary records are removed during subsequent form processing after they are more than 24 hours old. Sending an enquiry does not subscribe you to a marketing mailing list. The illustrative automation and AI examples on this site do not process your business data or make decisions about you.

Website and communication providers

The website and contact-form email delivery are hosted by Hostinger. Hosting and security services process technical information needed to deliver and protect the site, such as connection and request data.

Fonts are served directly from this website, without a request to Google Fonts. Contact-form emails are sent through Hostinger to our business inbox. Email and WhatsApp are handled through their respective providers. Links to portfolio websites and other services take you to sites with their own privacy practices.

Relevant information is shared with the service providers needed to host the website, receive communications and carry out agreed work. Some providers operate internationally; their processing locations and transfer arrangements are described in their notices. Contact us if you need more detail about a provider involved in your enquiry.

How long information is kept

We keep enquiry correspondence for as long as it is needed to handle the request and maintain a relevant business record. The period depends on whether a project proceeds, whether follow-up is still needed and any applicable record-keeping or dispute requirements. If a project goes ahead, its agreement may set out additional data-handling arrangements.

You can ask us about the information held about your enquiry or request deletion. We will explain if there is a reason some information needs to be retained.

Ask Aubie: our AI FAQ guide

If you choose to send a question through the Aubie chat, your message and recent conversation context are processed through our n8n workflow and OpenAI to answer from approved public information about The Auburn Web. Aubie is an AI assistant, not a live member of our team. Please do not send passwords, private customer records or sensitive personal information. Confirm project-specific details with the team.

The website keeps the conversation for up to 24 hours. This browser tab remembers a temporary private access key in session storage so you can continue while moving between pages. The Clear chat button deletes the conversation from our website; it does not delete information already processed by OpenAI, whose API data controls and retention apply. We disable execution-payload saving in the n8n chat workflow.

We use short-lived keyed connection references and usage counters to reduce abuse and AI costs. Starting a new conversation does not reset these limits. The chat cannot access your business accounts, book an appointment, send an enquiry or change a workflow. To contact a person, use the contact form or email info@theauburnweb.co.uk.

If you use our optional automation assessment, we process the website address or business description you supply, your corrections, existing apps, priorities and generated ideas. We read up to six relevant public pages from the website you provide. The assessment does not access your accounts or internal business systems.

Our Hostinger website and self-hosted n8n workflow prepare the research and send the relevant text to OpenAI to generate your business profile and proposed automation ideas. Please do not enter passwords, private customer information or sensitive business details. AI proposals can contain mistakes; you can correct the profile and our team will check the fit before recommending a project.

Assessment records expire after 24 hours and are removed automatically. Public page findings may be cached for up to 24 hours. Temporary browser session storage keeps your access key and chosen ideas in this tab so you can return to the assessment or carry them to the enquiry form. You can remove your shortlist on the contact page or clear this tab’s session storage in your browser. Clearing browser storage does not reset the free-assessment limit. The assessment itself does not require your email address.

If you choose to send an enquiry, the context shown on the contact form is included in the email to our team and handled with that enquiry. We offer one free assessment per website and internet connection. To enforce this, we retain keyed hashes of the website’s domain and IP address (or IPv6 network), with a record reference and date, while the free-assessment service operates. These restriction records remain after the 24-hour assessment content is deleted; they do not contain the assessment answers or a plain-text IP address. Other people on a shared connection may therefore be unable to start another assessment. Contact us if you need help or want to discuss these records. OpenAI handles API data under its applicable business service terms and data controls. OpenAI business data information.

Your choices and rights

Depending on the circumstances, you can ask to access or correct your personal information, request deletion or restriction, object to processing, or request a portable copy. Where processing relies on consent, you can withdraw that consent.

Contact info@theauburnweb.co.uk to make a request. You can also raise a concern with the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint .
